About Rota

Rota is a personal shift and roster tracker for adding, reviewing, and deleting work shifts and personal events, and reviewing hours and estimated earnings. It has no user accounts or backend server. Most information stays on your device; the optional weather and AI features send information to the providers described below.

Information stored on your device

  • Shift and personal-event details you enter.
  • Hourly-rate settings used to calculate estimated earnings.
  • Optional shift-message text you paste into the app.
  • Your own AI API key, stored in protected device storage.

This information supports the app’s roster, event, earnings, and optional parsing features. Han does not receive a server copy of your roster, events, settings, or API key.

Optional location and weather

With your permission, Rota may access foreground location to show local weather. Location coordinates are sent to Open-Meteo to retrieve weather information. You can decline or revoke location permission in your device settings. This prevents location-based weather access.

Open-Meteo receives the network information needed to handle the request, including your IP address. Its free API privacy notice states that troubleshooting logs may contain coordinates and are deleted after 90 days. See Open-Meteo’s terms and privacy notice for its handling of API requests.

Optional AI-assisted shift parsing

When you choose AI parsing, the pasted shift text is sent to Google Gemini to extract shift information. Your user-provided API key is used to authenticate that request. Google also receives technical request information. You can enter shifts manually without using this feature.

Google’s handling of prompts and responses depends on the service tier and applicable terms. For unpaid services, Google may use submitted content and responses to improve its products, and human reviewers may process them. Do not submit sensitive, confidential, or personal information to unpaid services. Remove names, contact details, and other identifying information from shift messages before using them.

For paid services, Google states that prompts and responses are not used to improve its products, but they may be logged for safety and legal purposes. Review the Gemini API terms and Google Privacy Policy for the terms that apply to your API key. Deleting a local message does not delete a copy already processed by Google.

Reminders and permissions

Rota uses local device notifications for shift and event reminders. Notification permission can be managed in your device settings. Depending on your device’s notification-preview settings, reminder content may be visible on the lock screen.

What Rota does not use

Rota does not use analytics, advertisements, tracking, payments, or subscriptions, and does not sell user data. There are no user accounts or app backend server. Google and Open-Meteo process requests only when their respective features are used; their own practices are governed by their policies.

Storage, retention, and your choices

Local information remains on your device until you delete it or the app’s stored data is removed. You can review and delete shifts and events within Rota, and manage device permissions in your system settings. Device backups and protected credential storage may have separate retention rules; uninstalling the app should not be assumed to erase backups or stored credentials. You can revoke your AI API key through its provider.

Han does not maintain a server database of your app information. Information sent to external providers is handled under their retention and deletion policies and may be processed outside your country. Contact those providers for requests relating to their copies of information.

Your API key uses protected device storage, but no storage method is completely risk-free. Keep your device secure and your API key private.

Children and age requirements

Rota is not directed to children and should not be used by children. Users of optional AI parsing must meet Google’s applicable age requirements. The Gemini API terms currently require users to be at least 18 and prohibit API clients directed towards, or likely to be accessed by, people under 18.

Contact and privacy requests

The owner of Rota is Han, under Han Industries. For privacy questions, access or correction requests, deletion requests, or complaints, email hanindustries@gmail.com. We cannot access or delete information held only on your device.

If you email us, your address and the information you choose to send will be handled to respond to your enquiry. This correspondence is separate from data stored by the app. Please do not send API keys or unnecessary sensitive information.

Changes to this policy

We may update this policy when the app’s features or information practices change. The latest version will appear on this page with an updated date.
